Frequently Asked Questions
Changes to NJIT Email and Google Account
- After graduation, you will have 150 days to migrate your email, files, etc., out of Google Workspace. After that time, access to Google Workspace will be suspended and emails sent to your njit.edu email address and/or aliases will be forwarded to your specified forwarding email address. Instructions to establish your alumni email forwarding address can be found under "How do I establish or change my preferred forwarding email address?"
- After the 150 day period alumni users will no longer have access to their NJIT account and resources (including, but not limited to: email, Google storage, and Highlander Pipeline).
Providing email in perpetuity is not sustainable for NJIT for several reasons.
- Operating an email service for users no longer affiliated with NJIT poses serious security and privacy risks. Like many other higher education institutions, NJIT is responding to an increasing number of cyber threats, often targeted via email.
- The cost to maintain these accounts is rising. Google recently introduced a new license and storage model that eliminates free, unlimited storage for Google Workspace for Education.
All storage space associated with accounts will be reclaimed by NJIT, therefore any associated information with these accounts will no longer be accessible by the original user. You are encouraged to backup your data during the transition period. Instructions to export your data can be found under "How do I export my data/storage from my NJIT account?"
Unfortunately, Google is not offering an opt in/out solution for alumni who might want to keep their NJIT account. This is not just an NJIT issue but one that colleges and universities across the country are currently dealing with as a result of the change.
Alumni Email Forwarding & Sending
- Go to the Accounts & Access page on Highlander Nexus
- Click Maintain Alumni Forwarding Address under Quick Links
- Click the green Edit Profile button in the top right corner
- Enter your UCID password and click Verify
- Click Verify to Verify with Duo
- Approve the Duo Push that was sent to your phone
- Click the Edit button at the top of the Personal Information section
- Enter your preferred forwarding email in the Alumni Forwarding Email Address field.
- Click Save
Your preferred forwarding email can be entered and changed here at anytime.
Email forwarding will be activated only for those who opt-in by submitting a forwarding email address. Accounts without a forwarding email address will be suspended and any emails sent to your @njit.edu email address will be undeliverable.
Replies will appear as coming from your preferred email address to which the email had been forwarded (e.g. xyz@gmail.com), even if the original email was sent to ucid@njit.edu.
Alumni will only be able to receive emails to ucid@njit.edu, but will not have the ability to send emails from ucid@njit.edu.
Applications
No. Those applications are part of the Google Drive service and will no longer be available under your NJIT Google account. To use these services, you must use a personal Google account.
If you have shared access to your NJIT Gmail account data with any third-party application, service, or website, or use your NJIT Gmail account to log in to a third-party application, service, or website, those connections will no longer work and you will need to associate them with another email account of your choice. Please refer to the Security section of My Google Account instructions (https://myaccount.google.com/security) to review your existing connections. Failure to review and optionally transition existing connections may result in a service disruption and/or data loss.
Shared Files & Data
- For academic data: Speak to the faculty member with whom you worked (e.g., as a GSI or TA) to determine whether they'd like you to transfer ownership of any files and where best to store that data.
- For research data: Speak with your research team to determine to whom ownership should be transferred and where best to store that data.
You should work with your collaborators to establish who can take over ownership of the data and then transfer ownership to them. Another option is to transfer content to a shared drive giving collaborators (assuming they're NJIT account holders) appropriate access to the shared drive.
You will need the owner of the files to re-share with your new personal account.
Transferring Your Data
- If you choose to transfer your data/files to another Google account you can use Google Transfer. Step-by-step instructions from Google to transfer your data can be found here.
- If you choose to export your data to use it with a service other than Google, account you can use Google Takeout
- Data can be downloaded to an external drive.
The Google Takeout/Transfer process can take weeks to complete depending on the amount of content to be transferred. If you haven't done so already, please complete your Takeout/Transfer as soon as possible.
If your personal Google account does not have enough available storage space when you attempt to transfer your data you can visit http://one.google.com/ to review options for paying for additional storage.
Create an account with a provider of your choice (Google, Microsoft, Apple, etc.). If you’d like to stay with the same service as your current NJIT account, create a new Google account, which offers 15GB of storage for free. This will give you access to Gmail, Calendar, Drive, Apps, Photos, and more. Sign up for a personal account through Google.
Maintaining Your UCID
You will continue to receive prompts at regular intervals to update your UCID password. As an alum, by updating your UCID password when prompted, your NJIT account will remain active.
If you do not update your UCID password when prompted, your NJIT account will be deactivated, resulting in a loss of access to NJIT computing services and alumni email forwarding to your personal email address.
Continuing at or Returning to NJIT
No, graduating students continuing at NJIT to pursue an additional degree or to pursue a full/part time professional position will not be impacted so long as they show active enrollment or employment within the 150 day period.
Upon your return as an NJIT student or employee your original email address will be reinstated, but your historical emails and data will not be reinstated. This will be like a fresh start to your account.
Accessing NJIT Services
Canvas can still be accessed, as long as you keep your UCID and password current.
