Why is NJIT making changes to Google Workspace and Email for Alumni?
In the past, alumni have been allowed to maintain access to their ucid@njit.edu email address indefinitely. That practice was put in place at a time when personal email accounts were tied to internet service providers (ISP) and/or cost money. Changes to this practice needed to be made for security as well as evolving policy and licensing decisions made by our technology partners:
-
Changes to Google: Google has discontinued their unlimited storage policy. The new quotas are significantly reduced, inadequate, and required NJIT to purchase additional storage. Even with the additional storage, NJIT needs to reduce our storage footprint by 50%.
-
Security: Universities are increasingly targets for cyber attacks and protecting the data entrusted to us by our community is of utmost priority. NJIT alumni accounts in particular have regularly been targets of Phishing attacks.
Many universities are being forced to make similar changes (please see article here). We acknowledge that this may be a disruption. Our alumni are essential members of our community, please be assured that this decision was not taken lightly.
What will happen to my NJIT email and account?
Effective June 4, 2024
- Alumni will be transitioned to email forwarding, where emails sent to the ucid@njit.edu email address will forward to an external email address of their choice.
- Alumni will only be able to receive emails to ucid@njit.edu, but will not have the ability to send emails from ucid@njit.edu
- Alumni users will no longer have access to their NJIT account and resources (including, but not limited to: email, Google storage, and Highlander Pipeline).
Can I pay for my own GMail account and keep my NJIT.edu email open?
Unfortunately, Google is not offering an opt in/out solution for alumni who might want to keep the account. This is not just an NJIT issue but one that colleges and universities across the country are currently dealing with as a result of the change.
How do I export my data/storage from my NJIT account?
- If you choose to transfer your data/files to another Google account you can use Google Transfer.
- If you choose to export your data to use it with a service other than Google, account you can use Google Takeout
Expanded details for both types of exporting can be found here.
Will I be able to send email from my ucid@njit.edu email address after June 4, 2024?
Alumni will only be able to receive emails to ucid@njit.edu, but will not have the ability to send emails from ucid@njit.edu.
If I reply to an email that I received in my recovery email inbox, (but was sent to ucid@njit.edu), where will it look like my reply email is coming from?
Replies will appear as sending from your recovery email address (e.g. xyz@gmail.com), even if the original email was sent to ucid@njit.edu.
What happens to my storage, email, drive, photos, etc. after my account is transitioned to forwarding only on June 4, 2024?
All storage space associated with transitioned accounts will be reclaimed by NJIT, therefore any associated information with these accounts will no longer be accessible by the original user. You are encouraged to backup your data during the transition period. Instructions to export your data can be found here.
What happens to my connections to third-party apps and services?
If you have shared access to your Gmail account with any third-party applications or services (e.g. using your NJIT Gmail account information to log in to an outside application or service) those connections will be reset. Please refer to the Security section of My Google Account instructions to review your existing connections.
