MTSS Usage Policy for the NJIT Community

HOURS OF OPERATION

From September through May, MTSS Offices are open Monday - Friday from 8:30 AM- 9:30 PM, and Saturdays from 8:30 AM- 4:00 PM, when classes are in session.  When classes are not in session, our office hours are Monday-Friday from 8:30 AM- 4:30 PM

During summer hours, MTSS Offices are open Monday - Thursday from 8:30 AM-9:30 PM and Friday 8:30 AM- 4:30 PM when classes are in session. When classes are not in session, our office hours are Monday-Friday from 8:30 AM- 4:30 PM.

GENERAL POLICIES

Requesting Equipment

MTSS requires a minimum of 48 hours notice for regular equipment delivery requests, and 24 hours for sign-out requests. Special Event requests (i.e. Conferences, symposiums, PA systems, etc) require a minimum of 1 weeks notice.

All regular requests should be submitted by using our on-line request system at http://itms-request.njit.edu. If a request can not be entered on-line, please send an e-mail to mtss@njit.edu.

Requests for equipment deliveries must be by a NJIT Faculty or Staff member. We do not accept delivery requests directly from students. However, students may request sign-out equipment from MTSS, and pick it up from GITC 0300 with a valid student ID. Certain items will require an e-mail (or memo on NJIT letterhead) from an NJIT faculty or staff member in order for students to have access to the equipment.

All requests will be filled on a first-come, first-served basis. Due to inventory limitations, we recommend you schedule equipment needs as early as possible.

Same-day equipment requests are accommodated when users sign out the needed equipment from GITC 0300. Please note that during peak times, certain items may not be available for sign-out.

All equipment becomes the responsibility of the requestor for the duration of the period requested. If the equipment is lost or damaged, MTSS will chargeback the cost of repair or replacement to the requestor's department.

There is no charge for delivery and pickup of equipment in open classrooms during regularly scheduled classes, as long as the equipment is considered normally available for delivery. Please check our online request system for details.

Requests outside of regularly scheduled class hours, or deliveries of equipment normally signed-out, such as portable LCD projectors, will be considered a special event and subject to a delivery charge as described in our “other types of deliveries” policy outlined below.

Classroom Deliveries

Equipment deliveries for regularly scheduled classes are provided from 8:30 AM until 8:30 PM, and equipment pickups until 9:30 PM on weekdays. Saturday delivery hours for regularly scheduled classes are 8:30 AM until 2:00 PM; regularly scheduled classes are defined as any class that is listed on the NJIT Registrar’s course schedule for Fall, Spring or Summer Sessions. Equipment can be signed out of the MTSS office after 8:30 AM and must be returned no later than 9:30 PM.

Equipment delivered to labs and conference rooms must be available for pickup at the designated pickup time. If MTSS cannot access these rooms, we cannot deliver equipment to them, and the equipment will have to be picked up from our offices at GITC 0300.

Equipment typically will not be delivered overnight to any location. If you have a special need that requires this, please contact us at mtss@njit.edu​. Equipment delivered under these circumstances becomes the responsibility of the requesting department. Replacement or repair of this equipment will be charged to that department.

Some deliveries may be subject to cancelation if the building’s elevators are not operational.

No equipment may be kept by a requester past its originally scheduled time without special permission. In many cases, another user needs it immediately after your scheduled use.

All equipment delivered by Media Services becomes the responsibility of the requestor for the duration of the period requested. If the equipment is lost or damaged, Media Services will chargeback the cost of repair or replacement to the requestor's department.

Restricted Locations

Smartcarts

Smartcarts are only available for delivery in Cullimore Hall Rooms 110, 111, LH1, LH2, LH3, and Kupfrian Hall (except the Learning Center). ALL other classrooms with projectors installed, including the additional learning spaces in Cullimore, require a notebook computer.

* MTSS has assigned equipment to the School of Architecture Library for use in these buildings. Please contact them for further details (973-596-3083).

Any requests for a delivery to the above locations will be considered a special event, and therefore are subject to a delivery charge.

MTSS must have access to the rooms at the time of the attempted delivery. If a delivery is attempted and access is not available, the equipment will be returned to the MTSS storeroom.

Other types of Delivery Requests

  • Alumni events and events hosted by senior staff including college deans.

If the event is held during regular university hours, MTSS will deliver basic a/v equipment setups at a $50 charge. However, if the event requires an operator, complex audio or video support, or is outside of official university hours, the requestor will incur additional labor costs to support their event. The professional staff of MTSS will evaluate your needs and assist in procuring the additional staff if needed. All costs for any student labor, a/v or video technician, staff overtime, or contractors will be the responsibility of the sponsoring group.

Campus Center Events

The NJIT Campus Center has been provided with equipment to support most basic a/v needs for groups. Please contact the Campus Center directly for these needs. If you are hosting a large event or conference, MTSS will determine whether the Campus Center can support your needs independently. If not, we will work with you to determine what resources you will need to support your event, and determine the equipment and labor costs. Depending on the scope of the event, MTSS may recommend outside contractors to support your event. All student and staff labor charges as well as any equipment usage charges acquired will be the responsibility of the sponsoring group.

Departmental Meetings*

If the event is held during regular university hours, MTSS will deliver basic a/v equipment setups at a $50 charge. Typically, equipment for meetings (including LCD projectors and PCs) should be requested for sign-out to avoid a delivery charge. The equipment must be picked up and returned to our office in GITC 0300. If that is not feasible, requests for equipment delivery can ONLY be scheduled before or after our regularly scheduled classroom deliveries are completed. When classes are not in session, all deliveries will be considered Special Events and evaluated on a case-by-case basis, depending on availability of delivery staff. If MTSS cannot provide delivery of the equipment, it must be picked up from our office in GITC 0300 during regular office hours.

*NOTE: If a department sponsors or hosts a meeting of an outside organization, such as AIA or IEEE, this will still be considered a special event by an outside group, even if NJIT is a member of the group. Please see the section below on special events for information on how MTSS supports these types of events.

Student Sponsored Events

All student organizations must attend the semi-annual orientation provided by the Campus Center office. Once you have attended, you will be put on an authorized list for equipment sign-out. Any request for equipment delivery will be considered a special event and subject to the same costs as outlined above.

Special Events for Outside groups

Any requestor who is not directly employed by NJIT, including community groups, associations, educational institutions, EDC, companies, and governmental groups will be considered outside groups.

Equipment from our regular inventory will be provided for a usage charge. If a request is received and the equipment is not available, we can rent it for you and charge the costs back your department or organization.

Outside groups wishing to use MTSS will be charged for equipment and labor costs, including staff time, on a daily basis. Please e-mail mtss@njit.edu for details.​​​​

Sign-out equipment

No equipment may be kept by a requester past its originally scheduled time without special permission. In many cases, another user needs it immediately after the original request.

All signed-out equipment becomes the responsibility of the requestor for the duration of the period requested. If the equipment is lost or damaged, MTSS will chargeback the cost of repair or replacement to the requestor's department. Repeated failures to return equipment at the scheduled time will result in revocation of borrowing privileges.
