1. As the delegate you must check your email account for an email granting you access to your supervisor's / delegator's email. The subject of the email should look like the image below:
2. Click the link in this email underneath the statement "To accept this request, please click the link below:"
3. Once you have clicked this link, you will see a confirmation screen as pictured below:
From this point on you need to choose the proper instructions depending on whether you are using Outlook or the Web Interface; delegation is not supported from any other client. Choose the "Outlook Users" tab if you are using Outlook and the "Web Interface Users" tab if you are using the Webmail by Google web interface.
Outlook Users
1. Click the Start button in the bottom left of your screen as shown below, then click on "All Programs" as shown in the second image below:
2. Click on the folder named "Google Apps Sync 2.0" as shown below:
3. Click the program named "Add account for delegation" as illustrated in the image below:
4. A window will appear titled "Add account for delegation to Google Apps Sync." In the box labeled "Delegate Email:" enter your supervisor's / delegator's email and click the "OK" button when finished.
5. You will receive a confirmation window. Click the "OK" button to close it.
6. Open Outlook. In the left-hand column, you will have a second account with a second inbox for your supervisor's / delegator's account.
7. To check your supervisor's / delegator's account's sync status, complete the following steps: a. Open the Windows system tray; b. Right click the Google Apps Sync icon in the Windows system tray; c. Hover over "View Sync Status..."
8. Left click on the account to see the sync status.
9. Open a new message. In the new message window, if you do not have a "From" button above the "To" button, click the "Options" tab and click "From" in the "Show Fields" area. Look at the picture for reference. If you have a "From" button already, please go to step 11.
10. Now in Outlook you can select which email address you want to send email from: your email or your supervisor's / delegator's email. Click on the "From" field in and select "Other E-mail Address..." See the image below:
11. A window will appear named "Send from Other E-Mail Address." Put your supervisor's / delegator's email address in the box as shown below:
12. From now on you will see this when you create a new message. The "From" field will allow you to select which email address to send from. See below:
Note: When you are sending emails in Outlook from your delegator's email address, emails will no longer say "On behalf of;" it will appear as though the person sent it them self. However, if you are sending the email from the web interface, the message WILL say "On behalf of".
Web Interface Users
1. Now when you log in to the Webmail by Google Web interface, you will see on the right top corner button with "WEBMail" icon. Click on that button.
2. Click on the delegated account to open.
3. You're finished. You can now use the delegated account as normal. When you want to switch back to your account, follow steps 1-2 again except clicking on your email address instead of your delegator's email address.
Note: When you are sending emails in Outlook from your delegator's email address, emails will no longer say "On behalf of;" it will appear as though the person sent it. However, if you are sending the email from the web interface, the message WILL say "On behalf of".
