1. Log into Webmail by Google, click on the “Gear icon” in the top right hand corner of your browser, and click on Mail settings.

        

 

2. Click on Labs at the top of the frame.

 

3. Scroll down until you find the Canned Responses Lab. Make sure you click Enable.

 

4. Scroll down to the bottom of the page and click the Save Changes button to activate the Lab.

 

5. You will be taken back to the mail Gmail window. Once it loads, canned responses are ready to be used. Click Compose.

 

6. Below the subject line, you will now see a drop down menu option for canned responses. Click on the Canned responses link.

 

7. You can now create your first canned response. Click New canned response…

 

8. A pop-up will appear asking you to name the response. Click the OK button when finished.

 

9. In the text body of the e-mail, simply type your canned response. Once finished, click on the “Down arrow” next to Canned responses again.

 

10. You will now see the name of your canned response listed. Click on it under the Save sub-heading.

 

11. A pop-up will appear asking you to confirm you want to overwrite whatever was previously in the canned response. Select the OK button; this saves your canned response as-is so you can use it later.

 

12. If you want to use your canned response to reply to an e-mail, just click on the Canned responses link in the reply e-mail and click on the name of the canned response you want to use. This will automatically insert it into the e-mail.

 

13. If you ever want to delete a canned response, just click on the Canned responses link and select the canned response you wish to delete under the Delete sub-heading.

 

14. A pop-up will appear asking you to confirm that you want to delete the canned response.

 

15. Click the OK button to delete it from Gmail.

Canned Response Tips

  • Canned responses cannot save message subjects, so instead, you can start the canned response with the subject you want and then cut and paste it into the subject line.
  • You can use multiple canned response messages in a single email, just be sure to place the cursor next to where you want the next message to be inserted.
  • You can use the canned responses as different email signatures with different contact information, logos, disclaimers etc.
  • You can use Gmail filters to automatically reply with canned responses.
