Spam... Spam... More and More Unwanted Email!
Spam... Spam... More and More Unwanted Email!

Many members of the NJIT community have commented on an increased level of spam, phishing attempts, or unsolicited electronic mail.  You can help control the amount of spam by being informed about spam and phishing (more info).

NJIT is an active participant in spam blocking for years.  Did you know that nearly 80% of all the email sent to NJIT addresses is blocked as known spam? About 90% of all real spam never reaches your mailbox.  Even with this level of filtering, some amount of spam is still reaching the end user, resulting in lost time and productivity.

Information Services and Technology is responding to this spam onslaught with an additional level of spam filtering.  NJIT has phased in a spam detection system which more accurately recognizes spam, isolates it in a quarantined area, and allows you to review it, independent of your normal email account. Please make sure your web browser accepts cookies.

Note that if you use MS Outlook to read your NJIT email, you have the option of also using Outlook rules to help filter out spam. Click here for more information and instructions on the pdf spam rule.

Here is how spam filtering works:

  • All email received at NJIT passes through this new spam filter.  If the new spam filter marks the email as spam, it moves it into a personal "quarantine" location reserved for you.

  • Once every 24 hours, if mail sent to your account is considered to be spam email, the filter will send you an automated message telling you so, with a link you can click on to review the spam email(s).  If your account has not received spam, you will not receive a message from the spam filter.

  • After clicking on the link in the notification message, you are brought to your personal, quarantine folder, which is separate from any of your regular email account mailboxes.  There you can review the spam and decide to forward it on to your "regular" mailbox, delete it, or modify your spam settings.

  • The link provided in the notification message contains the authentication needed to access the quarantine folder. Therefore, you should treat that link as if it was your password. Do not give anyone the link your receive.

  • Email left in your personal quarantine area will automatically be deleted after 5 days and is unrecoverable at that point.

Using the quarantine area:

Your "spambox" will have three tabs located on the top right:

  • The Mail tab will contain two folders:

The Quarantine folder will contain all your spam. From here you will be able to:
    • Release - This will release the selected spam from the quarantine and send it to your regular inbox.
    • Release & Always Allow - This will release the selected spam from the quarantine and always allow email from that sender to bypass the filter.
    • Delete - This will move the selected spam from the Quarantine folder into the Deleted Items folder.
    • Delete & Always Block - This will move the selected spam from the Quarantine folder into the Deleted Items folder and automatically delete all future email from that sender.
    • Empty - This will move everything in your Quarantine folder into the Deleted Items folder.

The Deleted Items folder will contain all your spam to be permanently deleted. Everything in this folder will be permanently deleted daily between 12am and 2am. Until that time, you will be able to use the same features as in the Quarantine folder. The Delete and Empty option will permanently delete the spam right away.

  • The Filter tab will allow you to add email addresses or domains that you want the spam filter to ignore or to always block:

You can add the following types of entries to your filter:
    • An Email Address - user@yahoo.com; All email sent to you from that address will be ignored/blocked by the spam filter.
    • A Domain - @hotmail.com, including the "@" symbol; All email sent to you from the hotmail domain will be ignored/blocked by the spam filter.
    • A Name - Jane; All email sent to you containing "Jane" in the from field will be ignored/blocked by the spam filter.

You can also "Delete" a specific entry from your filter or "Empty" all entries.

  • The Preferences tab will allow you to adjust display and notification options:

    • Display Options - Select the number of entries to list per page in your Quarantine and other pages.
    • Notification Options - This will allow you to enable or disable the email notification digest you receive in your regular inbox about your quarantine mailbox.

Quick notes about the quarantine area:

  • You may also receive multiple digest messages in a 24 hour period.  This will occur if you have multiple email aliases, or are subscribed to aliased mailing lists. You will get a different digest message to access the spam for each alias. The mail alias which received the spam will be noted in the “To:” field of the digest message.

Disabling the filter:

  • Users receiving a high level of spam will undoubtedly notice the benefits of this filter. However, those that do not receive a substantial amount of spam may see the quarantine messages as bothersome. If you would like to disable the spam filter, add the "*" character to your filter. This will automatically send all email, including regularly received spam, directly to your mailbox.

As an individual you can fight against spam by using a client filter on your personal mail box. You can help control the amount of spam by being informed about spam and phishing (more info).
